Facilities Maintenance AuditingBackgroundIn 1996 DE&T’s Victorian schools maintenance manager engaged Hammond Street Developments (HSD) to develop a software auditing tool for the department to assist with the PRMS Audit (Maintenance Audit for 1700 Victorian schools). The tool has been further developed and was used in 2000 and now for the PRMS 2005 Audit, about to take place. The project involved a physical audit of the maintenance condition of all DEET buildings, the development of two software programs (one corporate and one school based) and the provision of training, documentation and project management services. The 1995 PRMS maintenance audit identified and prioritised the maintenance needs of all schools across the state in a consistent manner. It provided the Department with an invaluable tool to analyse and plan its maintenance program both on a statewide and an individual school basis. Schools planning their maintenance activities at a local level have also used the resulting audit data. The success of this automated process has been outstanding and has delivered incredible results. By giving DE&T management the most intricate level of detail at their fingertips, they have been able to take back control of their maintenance budget.
